The Situation
A community-facing organisation in Toronto had recently expanded its reception and file-handling team. New staff were encountering billing terminology in incoming documents and client conversations but had not received any structured orientation on what the terms meant or how the underlying processes typically worked.
What Was Done
A 2-hour Cost and Timeline Literacy Session was delivered to all 14 staff members, with the session formatted as a walkthrough rather than a lecture. The worked budget sheet was used as the basis for a group exercise. Each participant received the 24-page workbook for ongoing reference, and the replay was made available to two staff members who were absent on the day.
What Changed
The team manager reported, at the 30-day mark, that the volume of internal questions about billing terminology had dropped noticeably. Two staff members had used the workbook glossary when reviewing incoming documents. The organisation booked a second session six months later for four newly hired staff.

The Situation
An eight-person administrative team was receiving incoming files from external parties under a variety of naming formats. The same document was sometimes saved with four different file names depending on who had processed it. Retrieval took longer than it should, and handover from intake to review was inconsistent.
What Was Done
The scoping call identified that the team worked with five recurring document categories. A tailored naming convention and a file-completeness checklist were developed for each category. The retention schedule template was adapted to reflect the organisation's existing document types. A review session was held at the end of the three-week engagement.
What Changed
Within 60 days, all eight staff members had adopted the naming convention consistently. Retrieval time for files was noticeably shorter, and the team lead estimated that handover delays between intake and review had reduced by roughly half. The checklist was used as part of onboarding for a new staff member who joined seven weeks after the engagement closed.

The Situation
Enquiries were arriving through email, phone, and an online form, but the three channels were handled by different staff members with no shared tracking. Handovers between the intake team and the next stage of processing were delayed by an average of two to three days, but nobody was sure where in the process the delay was occurring.
What Was Done
A six-week Operations Review examined all three intake channels. The observation phase revealed that phone enquiries were logged inconsistently because there was no shared template for recording the details, while email and form enquiries were processed more systematically. The written report identified three priority changes and included communication templates for the phone channel.
What Changed
The organisation implemented the phone logging template within the first week after the report was delivered. At the 30-day check-in, the intake team reported that the average handover delay had dropped from two to three days to under 24 hours. The measurement sheet provided was being used weekly by the team lead to track volumes by channel.
